Dear Vendor,

You are invited to participate in the 16th Annual BREWS AND BRATS OKTOBERFEST, presented by the Kingman Route 66 Rotary Club Foundation. Please read the following vendor information as it outlines all the event details and will answer most of your questions.

PLEASE NOTE OCOTBERFEST DATES HAVE CHANGED FROM THE FIRST WEEKEND OF OCTOBER TO THE LAST WEEKEND IN SEPTEMBER

Location: Metcalfe Park, 315 West Beale Street, Kingman, AZ 86401

Space fees: $150

Spaces: Each booth space is approximately 10′ x 10′. Vendors may reserve more than one space. Vendors must provide their own tables, chairs, and pop-ups or booths, and small generators if additional lighting is desired. (See Utilities, below). All pop-ups or booths must be staked or weighted. Stakes are allowed in the ground and weights are recommended.

Set-up and Tear down: Vendor registration and set-up begins at TBD No vendor may set up until they have registered with a Rotary vendor committee person. As Vendors arrive to check in, we will direct you to our traffic team for orderly vendor unloading. Please be patient and courteous to all volunteers and other vendors. We will have volunteers on hand to assist with vendor unloading and carting product to spaces.

No vehicles are allowed to drive or park on the grass of the parks. Vendors may drive partway down the driveway from the Lee Williams Parking Lot only. Vendors must unload, and then move the vehicle to the parking lot before continuing to set up. Or unload from a space in the parking lot. Vendors are advised to bring hand trucks or carts to facilitate set up..

No Set up or Tear down is allowed during the hours of Oktoberfest. The vendor access park gate will be closed during the hours of Oktoberfest. Tear down may commence at 8am on Sunday, September 29th. All trash and unwanted items must be disposed of in provided trash containers or dumpsters at the site.

Vendor Parking: South Lot of Lee Williams High School, adjacent to Metcalfe Park. Please move your vehicle to either the far east end of Lee Williams High School parking lot, or several blocks east on Beale Street, to keep parking spaces open for attendees.

Utilities: There are no hook ups for electricity or water for vendors in the park. The Oktoberfest continues until 10pm each evening, so Vendors that stay open after dark may provide their own small generator and additional lighting, or battery lighting, or they may close their booth with walls. We will ask the City of Kingman to have the overhead lights working for Oktoberfest, but no guarantee can be given that the overhead lights will work. It is up to the individual vendors to provide their own lighting and power source.

Overnight Security: Security service will be on Park grounds on Thursday, Friday and Saturday nights; however, you are advised to remove your valuables. The Kingman Route 66 Rotary Club will not be responsible for losses or damages incurred by vendors.

License & Taxes: A business license from the City of Kingman is required and a copy must be included with the vendor application. If the vendor does not have a City of Kingman business license, a special event license may be purchased with the Oktoberfest application for $11.00. This special event license application is included in the Vendor packet. Rotary is required to pay all fees to The City of Kingman BEFOR the event. Click Here to download the special event license. A copy of the business license and/or special event license must be posted conspicuously in your space at the Oktoberfest.

Cancellations & Refunds: All cancellations must be made in person or in writing, either by letter, fax or e-mail. A 50% refund of all booth and special fees will be given for cancellations prior to 5:00 p.m. on TBD.

NO REFUND OF ANY FEES will be given on cancellations made TBD because financial commitments will have been made and paid by the Oktoberfest committee that cannot be recovered. This also applies to NO SHOWS at the Oktoberfest.

Liability: The Kingman Route 66 Rotary Club, the Kingman Route 66 Rotary Club Foundation, and Rotary International will not be held responsible for theft, loss, or damage to you or your property before, during, or after the Oktoberfest.

Disclaimers:

  • Brews and Brats Oktoberfest is a family event. Therefore, obscene or vulgar merchandise is not allowed. Vendors attempting to sell this kind of merchandise may be asked to leave the park with no refunds.
  • No food or drinks may be sold as Rotary sells food and drink as a fundraising for this event, and no competing food or drinks may be offered for sale.
  • The weather is usually sunny with temperatures during the month of September of 50°F to 80°F. The Oktoberfest will go on, rain or shine (there will be no weather-related refunds). Come prepared with plastic in case of showers and weights in case of wind.
  • This is an outdoor event held at a public park and is susceptible to outdoor conditions that Rotary is not in control of. The City of Kingman maintains the park and frequently makes changes to the grounds. Be prepared to provide your own shade and deal with uneven ground.
